Primex Driver is an internal workplace app for authorised staff and drivers.

Who is responsible for your information?

PRIMEX LOGISTICS LIMITED (company number 16068256) is responsible for the personal information it uses through Primex Driver for its workforce and transport operations.

Registered office: 25 Far Birch Avenue, Houlton, Rugby, England, CV23 1FX.

For privacy enquiries or requests, email Cristian.Bobut@PrimexLogistics.co.uk with “Primex Driver privacy” in the subject, or write to the registered office.

This notice covers the mobile app and its connected workplace portal. It supplements any employment, agency or contractor privacy notice you receive.

Information used by the app

Depending on your role and the features you use, we process the following information.

  • Account and identity information: your name, staff or driver identifier, email address, telephone number, login credentials and authentication records.

  • Driver and licence information: date of birth, sex, address, driving licence number, licence-check authorisation, results, entitlements and relevant endorsements or restrictions.

  • Work and vehicle records: assigned vehicles or trailers, registrations, shift and return records, destinations, estimated arrival information, odometer readings, inspections, defects and associated dates and times.

  • Safety and incident records: fitness-to-drive confirmations or refusals, collision descriptions and locations, damage, photographs, relevant information about others involved, signatures and incident acknowledgements. Some reports may contain health, injury or offence information.

  • Documents and acknowledgements: documents made available to you, policy acknowledgements and their timestamps.

  • Technical information: information needed to provide and secure the service, which may include IP addresses, request times, error records and browser or device details.

Information comes from you, authorised workplace administrators, existing staff and driver records, licence-check services and connected vehicle systems. Only include information about other people that is relevant to the workplace report.

Why we use information

We use this information to provide secure staff access, allocate and return vehicles, organise journeys, maintain safety and inspection records, check driving eligibility, communicate policies, investigate incidents and manage insurance or legal claims.

Under the UK GDPR, the applicable legal basis depends on the purpose. These bases include performance of your contract where processing is necessary for that contract; legal obligations concerning employment, road transport and safety where they apply; and legitimate interests in safe fleet operations, workforce administration, security and handling claims, balanced against your rights.

Health information and criminal-offence information require additional legal conditions. Where applicable, these include necessary employment-law obligations and rights, and establishing, exercising or defending legal claims, with the relevant Data Protection Act 2018 safeguards.

Licence-check authorisation is recorded separately. Agreeing to this notice is not blanket consent to workplace processing.

Where we specifically rely on consent, you may withdraw it through the contact above. This does not affect earlier lawful processing.

Some information is necessary to establish driving eligibility or complete mandatory safety tasks. If you cannot provide it, contact your manager to discuss the effect on your duties and an alternative process.

Location, camera and device permissions

When you use collision reporting, the app requests foreground location permission to help record the incident location. It may use a current or last-known device location. You can enter or correct the location manually. The current app does not continuously collect your phone’s location in the background.

The destination and ETA feature displays information from connected vehicle tracking systems. Vehicle tracking is separate from your phone’s location permission and can identify a vehicle assigned to you. Ask your manager for the workplace vehicle-monitoring arrangements that apply to your duties.

Camera and photo access support pictures you choose to attach to inspections or incidents. You can manage permissions in your device settings. Refusing access may limit the associated feature.

The app does not need your contacts or microphone for its current reporting functions.

Who receives information?

Relevant records are available to authorised staff responsible for transport, compliance, safety, administration or incident handling.

Where necessary for these purposes, information may also be shared with your employer or agency, insurers, professional advisers, emergency services, regulators or law enforcement.

Service providers support hosting, storage, maintenance, licence checking and mapping. Providers acting on our behalf must process information under appropriate instructions, confidentiality and data-protection safeguards, and provide protection consistent with this notice and applicable law.

Licence checking: identity and driving-licence details are sent to the configured licence-check service to obtain authorisation and check results.

Google Maps: embedded maps send the displayed coordinates and, where relevant, origin and destination coordinates to Google. Opening directions also sends destination information. Google may receive technical information such as your IP address and process information under its privacy policy.

Postcode lookup: a postcode entered for a location lookup is sent to Postcodes.io to obtain location information.

We do not sell app personal information or use it for targeted advertising.

International processing

Some providers, including mapping services, may process information outside the UK.

Where we transfer personal information internationally, applicable UK transfer requirements must be met, such as an adequacy regulation or approved contractual safeguards and any necessary additional protections.

Contact us for details of the providers, processing locations and safeguards relevant to your records.

Storage, retention and deletion

The mobile app uses your device’s secure storage for saved sign-in details and an app passcode where enabled. Downloaded reports and photos you export may remain on your device or in a destination you choose. Protect your device and handle exported workplace records appropriately.

We retain records only while needed for the purpose for which they were collected and applicable legal, regulatory, insurance or dispute requirements.

The period depends on the record. Account access relates to your authorised role. Inspection and compliance records relate to transport obligations. Incident and claim records may be needed until investigations and claims are resolved. Security records are retained for operational and security needs.

Relevant records may be held longer where a legal obligation or preservation requirement applies.

When information is no longer needed, it should be securely deleted or anonymised, with backup copies removed through the applicable backup cycle. Contact us for the retention period or criteria for a particular record.

Accounts are supplied for work. To request account closure, removal of app access or deletion of personal information, use the privacy contact above or contact your workplace administrator.

Removing the app or logging out does not erase records already submitted to the workplace system. Records required for compliance, employment or legal claims may need to be retained after your access ends.

Your rights and choices

Subject to the applicable legal conditions, you can request access to your information, correction, deletion, restriction of processing and a portable copy of information.

You can object to processing based on legitimate interests and withdraw consent where consent is the basis used. We may need to verify your identity before acting on a request.

The app can automatically restrict access until required authorisations or declarations are completed. If a record or restriction is incorrect, or you need a decision explained or reviewed by a person, contact your manager or the privacy contact. Fitness declarations and licence results may inform workplace safety decisions.

You can complain to the UK Information Commissioner’s Office through its complaints service or on 0303 123 1113. You can also raise concerns with us first.

Intended users and updates

This app is intended for authorised workplace users and is not directed at children.

We may update this notice when the app or our processing changes. The latest version will be available on this page and through the app. Significant changes affecting your information will be communicated through an appropriate workplace channel.
